Catering will need the following information:
- Name of Event
- Date and Location
- Name and Phone of Event Planner
- Name of Department or Organization
- Mail stop or mailing address
- Type of Event: Breakfast, lunch, break, dinner etc.
- Date, time, and location of event ( Note: Please include set-up and clean up times, as well as actual event times)
- Approximate number of attendees or guests
- Any special schedule considerations (i.e. speakers times, arrivals, etc )
- Menu Selections and special dietary needs (vegan, no dairy, etc)
- Meeting Contact if different than Order Contact

Where to Start...
Reserve the room first. You are responsible for reserving your event location and providing tables for the catering set-up. Refer to the facilities section of this catering packet for more information. Please contact Catering as soon as you know the date of your event. We encourage you to book as soon as possible; we require a minimum of 7 business days in advance for all events.
Most arrangements can be made by phone or e-mail; others may require that we meet in person. We will be happy to assist you in making the arrangements. |
Guarantees:
A guaranteed count is necessary no later than 72 hours (typically 3 business days) prior to your scheduled event. This number will be your guarantee and not subject to reduction. On your final bill, you will be charged for your guarantee or the actual attendance, whichever is greater. |
Cancellations:
There is no charge for cancellations made at least 72 business hours before the event. Cancellations made less than 72 hours prior to an event are subject to a 50% service charge based on the guarantee. Cancellations made within 24 hours of the event will incur 100% of the charges. |
Exclusivity:
Campus Catering is the exclusive caterer on the Lambuth University campus. Outside food and/or beverages may not be brought to the Lambuth campus facilities without explicit permission from the General Manager. Leftover food and beverage may not be taken from any event by the hosts or their guests according to Tennessee Health Code. |
Security and Liability:
Campus Catering will not assume any responsibility for the loss or damage to any articles left at an event, prior to, during, or following the event. If valuable items are to be left in the banquet area, it is recommended that security be retained. |
Pricing:
All events are priced for disposable paper goods service, unless otherwise stated. Prices quoted are for events held during regular academic quarter sessions, September 1 through August 31. Service during intercessions, holidays or other typical 'close down' times will be charged based on additional costs incurred.
All breakfasts, box lunches, lunches, dinners, and buffets require a minimum of 25 people. Prices listed in this catering brochure are for groups of 25 people or more. For events less than 25 people, please use the following sliding scale:
20-24 attendees incur 5% increase per person |
15 to 19 attendees incur 15% increase per person |
10 to 14 attendees incur 25% increase per person |
1 to 9 attendees incur 50% increase per person |

Equipment Charges:
China service is available for $3.95 per person and typically includes:
4 pieces of china (Entrée Plate, Salad Plate, Bread & Butter and Dessert Plate)
1 water glass
5 pieces silverware (knife, fork, salad fork, spoon and dessert fork)
Labor:
Staffing is based on the number of guests attending the event, type of service, menu selection and location. Additional services requested will incur the following charges:
Attendant $15.00 per hour/per attendant |

Alcohol Policy:
There is no alcohol permitted on campus grounds.
Confirmation:
After placing your Catering order, you will receive a copy of your Banquet Event Order (BEO). You should receive the BEO within 7 days of finalizing your menu and event specifics. Please check this copy to confirm your times, menu, room etc. Contact the dining office with any changes that are necessary. Please fax your signed BEO copy to 731-425-3361. |
Delivery Charges:
Prices quoted in this brochure are for services in all of the rooms located on the Lambuth Campus. All on campus breakfasts, lunches and dinners up to 40 guests and serviced outside of the Widner Building will be charged a delivery fee of $1.00 per person. Events with more than 40 guests will be charged $1.00 for the first 40 guests and $.50 per person for each additional guest. Delivery charges to off campus locations will be determined by your catering contact, based on complexity of event, number of guests, distance from campus and travel time.
Billing and Payment:
Any events not being charged to Lambuth University will be subject to a 9.75% sales tax and 15% service charge on all food services. We require a 50% deposit within 72 hours of the function and balance due in full pay at the conclusion of the event. Campus Catering accepts payment by check or cash. Checks must be made payable to Sodexho.
